Recruitment Privacy Notice
This Privacy Notice only applies to the personal data of job applicants, potential candidates for employment, and our optional recruiting programmes and events. It does not apply to our employees, contractors or clients, or other personal data that the Parkwood Group companies, Alston Group and partners; Lex Leisure, Legacy Leisure, 1Life Management Solutions Limited, Wellbeing Fitness and Leisure Community Trust Limited and Creating Actvie Futures collects for other purposes.
As used in this Privacy Notice, “personal data” means information that identifies job applicants and potential candidates for employment with us, either submitted as part of the online application and/or through alternative channels (e.g., via professional recruiting firms).
We will process your personal data in accordance with this Privacy Notice, unless such processing conflicts with the requirements of applicable law, in which case, applicable law will prevail.
By submitting your personal data to us, you acknowledge that:
You have read and understood this Privacy Notice and agree to the use of your personal data as set out herein.
You are not required to provide any requested information to us, but failing to do so may result in not being able to continue your application for the job for which you have applied.
All of your representations are true and correct to the best of your knowledge and belief, and you have not knowingly omitted any related information of an adverse nature. Providing any inaccurate information may make you ineligible for employment.
This Privacy Notice does not form part of any contract of employment offered to candidates hired by the Parkwood Group companies, Alston Group and partners; Lex Leisure, Legacy Leisure, 1Life Management Solutions Limited, Wellbeing Fitness and Leisure Community Trust Limited and Creating Actvie Futures.
In line with the General Data Protection Regulation (GDPR) all organisations who process personal data must ensure that they comply with its regulations and principles.
We must ensure that:
i) We are lawful, fair and transparent in the way that data is processed
ii) Personal data is used for a specific purpose
iii) We only record data that is required
iv) Have a duty to keep data accurate
v) Data is only kept for as long as is required
vi) All data is stored securely
This Privacy Notice will detail how we comply with the above principles as well as your rights as the data owner.
What data do we collect?
Personal data refers to any data that can be used to identify a natural person and we only process information that we need in order assist with your job application. We may collect some or all of the information detailed below:

vii) Employment history including salary and benefits

x) Any other information given to us by your referee

Other Information we may hold:
As mentioned above we are required to obtain referee information and act on this information to enable you to secure your role. This information is usually name, company, job title, contact number and email.
How do we collect your data?
The majority of the data we hold is freely given by the data owner and can be provided in a number of different ways.
i) When you apply into one of our job adverts
ii) When we source your data from a 3rd party (e.g. Job boards, Linked In)
iii) When you upload your CV to our website
iv) When you directly email in your CV
What is our Legal Basis for Processing your data?
We hope you will agree that we have your best interests at heart when you provide your data and we will do our upmost to protect your data and support you in your job application GDPR states that we are required to let you know under which legal basis your data is processed.
We are using Legitimate Interest as our legal basis for processing the following data:
Legitimate Interest – Article 6(1)(f) says:
“processing is necessary for the purpose of the legitimate interest pursued by the controller or by the third party except where such interests are overridden by the interests or fundamental rights and freedoms of the data subject which require protection of personal data”
For Candidates:
When you are providing us with your CV, applying to one of our adverts or uploading it onto a job board it is reasonable to expect that you will be contacted about your job search and any potential vacancies as this is the purpose for providing the information in the first place.
You may not be successful in your initial application however using the information you have provided we can let you know about any future vacancies we work on that you may be suitable for.
For Others:
We may hold your information if it has been provided to us to use as a reference for a new employee or a candidate for whom we have secured a new position.
Why do we collect your data?
So we can understand:
i) Who you are, what type of roles you are applying for.
ii) Have means to contact you via phone and/or email
iii) Where you live in order to be able to contact you about opportunities
iv) Your work history and qualifications
How do we use your data?
Your data is used for recruitment purposes.
i) Storing and updating your information on our system so that we can contact you about recruitment opportunities.
ii) Using your data to identify your suitability for recruitment opportunities we may have
vi) Emailing you information relating to specific recruitment which we think maybe of interest to you
vii) Speaking to previous employers whom you have provided information for to provide a reference
iii) Past employers named as reference providers.
Your data is of the upmost importance to us and as such we ensure all relevant security is in place in order to keep your data safe and protected from any potential threats.

Data Retention
If you accept an offer of employment by us, any relevant personal data collected during your pre-employment period will become part of your personnel records and will be retained in accordance with requirements. If we do not employ you, we may nevertheless continue to retain and use your personal data for a period of time for system administration purposes, to consider you for potential future roles, and to perform research. Thereafter, we retain a minimum amount of your personal data to record your recruiting activity with us.
We may desire to retain your personal data to consider you for future employment opportunities. In such an event, we will seek your consent, either prior to or after you formally apply for a job opportunity,

Your Rights.
GDPR provides the following rights.
1You may instruct us to provide you with any personal information we hold about you; provision of such information will be subject to:
a) your request not being found to be unfounded or excessive, in which case a charge may apply; and
b) the supply of appropriate evidence of your identity (for this purpose, we will usually accept a photocopy of your passport certified by a solicitor or bank plus an original copy of a utility bill showing your current address).
1.1. We may withhold personal information that you request to the extent permitted by law.
1.2. You may instruct us at any time not to process your personal information for marketing purposes.
1.3. In practice, you will usually either expressly agree in advance to our use of your personal information for marketing purposes, or we will provide you with an opportunity to opt out of the use of your personal information for marketing purposes.
1.4. Your right to access your data. You have the right to ask us to confirm whether or not we process your personal data and, to have access to the personal data, and any additional information. That additional information includes the purposes for which we process your data, the categories of personal data we hold and the recipients of that personal data. You may request a copy of your personal data. The first copy will be provided free of charge, but we may charge a reasonable fee for additional copies.
1.5. Your right to rectification. If we hold any inaccurate personal data about you, you have the right to have these inaccuracies rectified. Where necessary for the purposes of the processing, you also have the right to have any incomplete personal data about you completed.
1.6. Your right to erasure. In certain circumstances you have the right to have personal data that we hold about you erased. This will be done without undue delay. These circumstances include the following: it is no longer necessary for us to hold those personal data in relation to the purposes for which they were originally collected or otherwise processed; you withdraw your consent to any processing which requires consent; the processing is for direct marketing purposes; and the personal data have been unlawfully processed. However, there are certain general exclusions of the right to erasure, including where processing is necessary: for exercising the right of freedom of expression and information; for compliance with a legal obligation; or for establishing, exercising or defending legal claims.
1.7. Your right to restrict processing. In certain circumstances you have the right for the processing of your personal data to be restricted. This is the case where: you do not think that the personal data we hold about you is accurate; your data is being processed unlawfully, but you do not want your data to be erased; it is no longer necessary for us to hold your personal data for the purposes of our processing, but you still require that personal data in relation to a legal claim; and you have objected to processing, and are waiting for that objection to be verified. Where processing has been restricted for one of these reasons, we may continue to store your personal data. However, we will only process it for other reasons: with your consent; in relation to a legal claim; for the protection of the rights of another natural or legal person; or for reasons of important public interest.
1.8. Your right to object to processing. You can object to us processing your personal data on grounds relating to your particular situation, but only as far as our legal basis for the processing is that it is necessary for: the performance of a task carried out in the public interest, or in the exercise of any official authority vested in us; or the purposes of our legitimate interests or those of a third party. If you make an objection, we will stop processing your personal information unless we are able to: demonstrate compelling legitimate grounds for the processing, and that these legitimate grounds override your interests, rights and freedoms; or the processing is in relation to a legal claim.
1.9. Your right to object to direct marketing. You can object to us processing your personal data for direct marketing purposes. If you make an objection, we will stop processing your personal data for this purpose.
1.10. Your right to object for statistical purposes. You can object to us processing your personal data for statistical purposes on grounds relating to your particular situation, unless the processing is necessary for performing a task carried out for reasons of public interest.
1.11. Automated data processing. To the extent that the legal basis we are relying on for processing your personal data is consent, and where the processing is automated, you are entitled to receive your personal data from us in a structured, commonly used and machine-readable format. However, you may not have this right if it would adversely affect the rights and freedoms of others.
1.12. Complaining to a supervisory authority. If you think that our processing of your personal data infringes data protection laws, you can lodge a complaint with a supervisory authority responsible for data protection. You may do this in the EU member state of your habitual residence, your place of work or the place of the alleged infringement.
1.13. Right to withdraw consent. To the extent that the legal basis we are relying on for processing your personal data is consent, you are entitled to withdraw that consent at any time. Withdrawal will not affect the lawfulness of processing before the withdrawal.
1.14. Exercising your rights. You may exercise any of your rights in relation to your personal data by written notice to us in addition to the other methods specified above.
1.15. Point of contact Data. Paragraphs 6.1 – 6.14 Shall not apply to data obtained or processed by Parkwood in respect of points of contact in connection with a main contractor (as defined in paragraphs 1.9 and 1.11 above). in respect of such data:
Parkwood is acting as a processor of that data and the main contractor is the controller;
Consent
In certain circumstances we are required to have your consent to perform certain activities. This consent can be given in the form of an opt-in or soft opt-in option.
We have to ensure your consent is freely given, you understand what you are consenting to, and are able to opt-out and back in at any time.
